Projects of Imagination is a leading design studio based in Melbourne. We are looking for an Office Manager to join and support our Studio Director and team of designers.

Projects of Imagination is a leading design studio based in Melbourne, developing enduring brand experiences and integrated communications that help our clients stand out, connect with customers and stay relevant.

The Role

We are looking for an Office Manager to join and support our Studio Director and team of designers on a full time basis, in our light filled creative studio in Prahran. A part time role will also be considered.

Our new Office Manager, reporting to our Studio Director, will be responsible for scheduling and managing project timelines and studio workflow, project budgets and time tracking, coordinating with suppliers, production management, while most importantly, maintaining alignment between the client and the design team at all times.

Responsibilities

In this role, you will:

  • communicate with clients on processes, timing, finances; respond to requests; resolve issues; establish clients’ project timelines.
  • oversee and maintain project budgets.
  • track and report invoicing with the Studio Director.
  • provide weekly project status updates to the Studio Director and Accounts Department.
  • maintain studio and project calendars and timelines.
  • continuously be looking for ways to improve our systems and processes to streamline and ensure our logistics run more efficiently.
  • show proactive leadership, look for opportunities, propose suggestions and take initiative.

 Qualifications

 Ideally, you will:

  • have 4+ years’ experience in a similar management role, previous experience in a design agency or studio is highly advantageous.
  • be capable with design software including InDesign, Adobe Illustrator, Photoshop.
  • be proficient with accounting and project software, such as Forecast, Harvest and Xero.
  • have strong written and verbal communication skills.
  • be a team player with the desire to provide quality client service to a diverse range of clients in a dynamic and highly collaborative environment.
  • have exceptional planning, organisation and time management skills.
  • have excellent interpersonal and stakeholder management skills.
