We are looking for an exceptional Procurement, Administration & Studio Coordinator to become an important part of our long-established, multi-generational interior design practice.

Brownlow Interior Design is looking for an exceptional Procurement, Administration & Studio Coordinator to become an important part of our long-established, multi-generational interior design practice.
Working with a highly regarded portfolio of private residential clients across Australia and internationally, this is an opportunity to join a small, experienced studio where discretion, attention to detail and exceptional organisation are fundamental to the way we work.
This is not a design position. It is a hands-on operational and administrative role for someone who genuinely enjoys the mechanics behind running a busy interior design studio and takes enormous satisfaction in keeping projects, people and processes organised.
We are looking for someone experienced, capable and highly self-motivated who can step into the role with confidence and work closely with our directors and design team.
The Role
You will be responsible for much of the day-to-day administration and procurement that sits behind our interior design projects, helping ensure that specifications become orders, orders become deliveries and installations happen as seamlessly as possible.
Your responsibilities will include:
* Preparing and managing supplier quotations and client quotes
* Raising, issuing and tracking purchase orders
* Procurement of furniture, fabrics, lighting, rugs, artwork and other project items
* Liaising with suppliers, manufacturers, trades, freight companies and installers
* Tracking orders, deposits, balances, production schedules and lead times
* Maintaining accurate project schedules, spreadsheets and procurement records
* Coordinating freight, deliveries, storage and installation logistics
* Organising and assisting with project installations
* Processing and reconciling invoices and maintaining accurate project documentation
* General studio administration and filing
* Diary management, appointments and scheduling
* Providing PA-style administrative support to the directors as required
* Following up the myriad details that keep projects moving and ensuring nothing falls through the cracks
About You
You are the person who is always one step ahead.
You thrive under pressure, have an exceptional eye for detail and genuinely enjoy creating order from complexity.
You are confident dealing with suppliers, clients and trades and know when something needs following up without waiting to be asked.
You can move comfortably between a spreadsheet, a supplier on the phone, an urgent delivery issue and organising the logistics of an installation day.
You are practical, resourceful, discreet and calm under pressure. You enjoy being part of a small team and understand that in a boutique business everyone occasionally turns their hand to whatever needs to be done.
Given the private nature of our work and clientele, professionalism, discretion and sound judgement are essential.
Above all, you take ownership. If something lands on your desk, you see it through.
Experience
A minimum of six years' experience working within an interior design or architecture practice is essential.
This industry experience is important to us. We need someone who already understands the language, pace and administrative processes of a design practice, particularly procurement, quoting, ordering and installation.
This is not intended as a pathway into a design role. We are specifically looking for someone who loves the operational, procurement and administrative side of the industry and wants to make that their focus.
Systems & Software
Experience with Programa and Estimac is preferred.
You should also be confident and experienced using:
* Microsoft Office suite, particularly Excel, Word and Outlook
* Adobe Creative Suite
* Xero
Strong general computer skills and the ability to quickly understand existing systems and processes are essential.
The Arrangement
This is a part-time, flexible position and would particularly suit an experienced industry professional looking for a role that offers autonomy and flexibility.
The role can be performed primarily remotely, however one regular day per week in our South Yarra studio is required, along with attendance in person when necessary for installations, meetings or other project requirements.
We are interested in finding the right person rather than simply filling a position, and there is flexibility around the structure and days of the role for an exceptional candidate.
Remuneration will be generous and commensurate with experience.

Our work encompasses significant private residences, country properties and selected commercial projects, with a highly personal approach to each commission.
The studio is known for creating cultivated, layered and enduring interiors, with an emphasis on craftsmanship, textiles, antiques, contemporary art and beautiful objects.
